All future, current or past guests of the Okoro Villa and agents or third parties booking on behalf of guests.

Rates & Inclusions

Rates include 15% GST (if any).

Rates are quoted in New Zealand dollars ($NZD).

Rates are charged on a per night basis.

Rates are subject to confirmation at the time of reservation and subject to all payments being paid by due dates.

Check In / Check Out

Check-in is 3pm and check-out is at 11am unless otherwise agreed.

Inclusions

The rate includes breakfast continental and cooked to order, pre-dinner drinks with canapes and a 3-course dinner.

Also included for use at guests’ are barista coffee, a selection of tea, a basic pantry and food provisions. The Treehouse includes a Nespresso coffee machine, a tea selection and non-alcoholic treats.

Child Policy

Okoro Villa is not recommended for children under 12yrs unless the entire Villa is booked exclusively.

If children are permitted, they must remain supervised at all times and especially where any water activities are involved.

Children are not permitted to use the hot tub, sauna, plunge pool or swimming pool without adult supervision at all times. We have a fully fenced consented pool fence and our plunge pool is locked when not in use by an adult.

General Reservation & Cancellation Policy

MINIMUM NIGHT STAY

A minimum 2-night stay applies to all bookings except for:
New Zealand Public Holiday & Nelson Anniversary weekend – a minimum 3-night stay applies.

Festive – 4 night minimum and exclusive use booking only:

Okoro Villa can be only booked exclusively for up to 8 guests at the rate of $9,700 per night inclusive of GST between 20 December 2024 – 5 January 2025.  A minimum 4-night stay also applies.

Okoro Villa can be only booked exclusively for up to 8 guests at the rate of $12,100 per night inclusive of GST between 19 December 2025 – 11 January 2026.

BOOKING CONFIRMATION

To confirm a booking at Okoro Villa a 50% deposit must be received.

PAYMENT BALANCE

Final non-refundable payment is required 30 days prior to the reservation check-in date, except for bookings made for stays during the High Season where full non-refundable payment is required within 90 days prior to the reservation check-in date.

CANCELLATION POLICY

The following applies to the cancellation of all confirmed reservations:

  • Cancellations received within 60 days prior to arrival, incur a 50% cancellation fee*
  • Cancellations received within 30 days prior to arrival, incur a 100% cancellation fee

*For the specified Festive Periods Dec 18 2024 – JAN 5th 2025 & 19 Dec 2025 – 11 January 20206; cancellations received within 90 days, incur a 100% cancellation fee.

CANCELLATION BY US

If you do not pay the deposit or the requested amounts by the dates that they are due, your reservation will not be confirmed, and we will be entitled to terminate the tentative booking and retain any amounts paid to us.

BOND

All guests are required to provide their credit card details prior to arrival as security on check-in at Okoro Villa. You agree that we are entitled to debit the credit card or any amount which is payable by you under these Terms and Conditions including to cover any costs incurred such as the repair of any damage to the Property, missing items belonging to the Property, excessive cleaning, rubbish removal and additional staff hours incurred as a result of your stay.

PAYMENT GUEST INCIDENTALS

Payment for any items not included in the guest stay is required prior to departure and will be debited from the provided credit card upon approval unless another method is provided.

ON-SITE ACTIVITIES

You agree that any services or activities to be used or undertaken on the Property (including helicopter transfers landing on the Property) are to be booked and managed by Okoro Villa staff. In some circumstances, we can permit helicopter landings on the Property that are not booked through Okoro Villa staff; however, this is subject to our written authorisation.

Events on the Property or use of the Property as a venue require our express authorisation in writing and may be an additional cost. Public access to Okoro Villa is always prohibited and our permission is required for guests / visitors to access the Property.

SMOKING

There is a strict no smoking or vaping policy in the Okoro Villa and The Treehouse. Vaping is permitted outside the buildings.

ECO SANCTUARY

You acknowledge that the site of Okoro Villa is an active eco-sanctuary with conservation practices undertaken on the Property. This includes native bird breeding, native plantings, and predator protection & proofing. The ecology on the Property is vulnerable and you agree to respect the Property, treat the wildlife, plants, land and structures with care and please do not leave any rubbish or food anywhere on the Property. No animals are permitted by guests to be bought onto the property. As a semi- rural property, at times there may be disruption or speed issues to Wi-Fi services due to weather events as well as disruptions to power. We have a backup generator in place, if a power outage should occur.

YOUR RESPONSIBILITIES

You may not accommodate more than the maximum number of occupants stated in the written reservation confirmation, nor may you accommodate anyone not named on the guest reservation.

You are responsible for the cost of repairing any damaged or missing furniture, fixtures and fittings on the Property. You must take reasonable care of your own health and safety and must make sure that you behave in a safe manner at all times. You agree to observe any health and safety policies and procedures put in place by us at all times and must ensure that your acts or omissions do not endanger the health and safety of any other person.

DEPARTURE

You shall vacate the property no later than the required departure time as notified to you by us.

Late check-out is subject to availability at a cost equivalent to 50% of one night’s accommodation rate unless otherwise agreed. Accounts must be settled in full prior to departure.

INSURANCE / LIABILITY

Your personal effects are not insured by us. You are responsible for all personal items you bring to the Property and for any loss or damage to such items. All facilities and any activities you participate in will be at your own risk. We do not accept any responsibility for injury or loss suffered.

DISPUTES

If a dispute arises between you and us, we will use our reasonable endeavours to obtain resolution of the dispute by discussion between all concerned parties. If that process does not result in resolution of the dispute, then the dispute may be referred by any of the parties to the New Zealand Disputes Tribunal. A dispute does not excuse any party from performing its obligations under these Terms and Conditions.

GENERAL

Children must be supervised at all times by a parent or responsible adult if permitted by prior arrangement. We do not and will not make any representations or give any express or implied warranties of any kind in relation to the Property. All dietary requirements must be notified in writing. While all reasonable endeavours will be taken to ensure such dietary requirements are met, we cannot guarantee that no traces or contamination that is beyond our control will not occur.

All parties agree that the laws and courts of New Zealand have exclusive jurisdiction to the arrangements between the parties and to any matter referred to in this document.

FORCE MAJEURE / ACT OF GOD

No party will be liable for any delay or failure to perform its obligations under these Terms and Conditions if that delay or failure is caused by any event beyond its reasonable control, provided that party promptly gives written notice of fact and circumstances of that event to the other party and uses all reasonable endeavours to mitigate its effects.

Comprehensive travel insurance is recommended for all guests regardless of origin and is the responsibility of all guests.
